Check-In Volunteer Guide

Welcome! If you’re here, someone has invited you to help check attendees in at an event. Tap the Open Check-In button in your invite email to launch the check-in page — it’s built for phones and tablets, and no login is required. This guide walks you through everything you’ll see once the page loads.

  • A live counter at the top of the page shows X of Y checked in so you can track progress at a glance.
  • The Search box matches attendees by first or last name as you type. Results are grouped into:
    • Registered attendees — tap a row to toggle that person’s check-in status.
    • Org members not yet registered — members of the organization who haven’t registered for this event. Tap to open the walk-up registration form pre-filled with their details.

Every confirmed attendee receives a QR code with their registration confirmation. You can scan these for faster check-in:

  1. Tap Enable Scanner to request camera access.
  2. Point the camera at the attendee’s QR code.
  3. Valid codes check the attendee in immediately and show a confirmation.

If the scanner can’t start — for example, the browser blocked camera access or the device doesn’t support it — an error message appears with guidance on how to recover. You can still use the search box as a fallback.

When the scanned or selected attendee is part of a registration with more than one person (a family, a couple, or a party), a group panel appears showing the rest of their party. Each row lists the person’s name, ticket type, and current check-in status.

  • Tap any row to check that person in individually.
  • Tap Check in all to mark the whole group as checked in at once.
  • Attendees who are already checked in are visibly marked so you don’t double-check them.

You can register and check in someone who didn’t pre-register without leaving the page. Tap Register Walk-Up to open the form, then choose a mode:

Member mode — for an existing org member who walks up without a registration:

  1. Search for the member by name.
  2. Select a Ticket. The displayed price reflects any pricing rule tied to that member’s membership type.
  3. Optionally enter an Offline payment note (for example, “Paid $20 cash”).
  4. Tap Register & Check In.

Guest mode — for someone who isn’t in the member list:

  1. Enter First name, Last name, and Email.
  2. If the event requires a member host, pick a Member host from the search picker. (For events that don’t require a host, this field is optional.)
  3. Select a Ticket.
  4. Tap Register & Check In.

On success, the new attendee is registered and checked in in one step, the stats counter advances, and the form resets so you can take the next walk-up.
